How to create an inclusive and productive MICE event environment 

Inclusivity is an ever-evolving topic which is extremely relevant to the MICE industry as it can influence a delegate’s event satisfaction exponentially.

By embracing diversity and inclusivity, you create an environment where all attendees feel valued, respected, and included. This leads to richer conversations, broader insights, and a more memorable experience for everyone involved. 

The environment significantly influences how attendees process information, retain knowledge, and interact with others. Elements such as lighting, seating arrangements, and use of technology can either enhance or hinder our focus and engagement. 

Here at M&I, we want people to feel comfortable, engaged and productive, and have an elevated event experience. Here’s how we incorporate these principles into our events.

Thought-through, fair representation

To have the best event experience, it’s so important that you have a real variety of thoughts and skills in the room, to really discuss, challenge and widen our knowledge around the MICE sector and the possibilities within it. At M&I we do this by:

  • Fair representation: we ensure diverse representation among speakers, panelists, and attendees. This allows for different perspectives and voices to be heard and to connect. 
  • Inclusive programming: we offer a variety of session formats and topics that cater to different interests and needs. We also create safe spaces for discussions on sensitive subjects. 
  • Language considerations: we provide multilingual support or translation services if the event has an international audience. 

Ensuring adequate accessibility

Creating an accessible event is more than just adding a ramp to a venue when it’s needed. It’s about the visibility of accessible attributes, for others attending the event too, to help awareness and to help normalise these additions to an event so they become second nature to event planners. Some ways M&I incorporate these ideas include:

  • Thinking about accessibility from the outset: talking to the venues and hotels to make sure that they are already incorporating these changes into their infrastructure i.e. entrances and whole buildings having built-in step-free access where possible instead of bringing in a ramp especially for this event.
  • Having sign language interpreters, captioning services and supporting presentations: to make sure everyone gets the same out of an event.
  • Ease of access: picking hotels with conference facilities within the same site and making journeys from different areas as easy as possible from session to session, so no attendees are at a disadvantage.

Integration of technology

Within our events we integrate technology to make sure that those attending don’t have to worry about anything, from connectivity, to their own devices to tech products being integrated into events, to move away from the traditional trade show ‘sit and listen’ format. Some ways we do this include:

  • Strong WiFi connectivity around the site: whether it’s being able to refer to a device during a 1-2-1 meeting to give wider context or being able to slip off and answer some work emails between sessions, making sure connectivity is good will allow the most productive and stress-free event experience.
  • Charging stations: allowing delegates to seamlessly move through the event and not have to run off to find a plug in a corner when battery is low alleviates this from becoming an issue or taking away from valuable networking time.
  • Utilising virtual reality (VR) or augmented reality (AR): to create immersive experiences that captivate participants’ attention and stay with them beyond the event.
  • Use of visual aids: during keynote sessions or 1-2-1 meetings, using visual aids like presentations, infographics and videos can reinforce learning points and can aid in memory retention.

A brain-friendly learning environment

M&I have moved away from the traditional trade show format for a reason. We believe that a mixture of 1-2-1 carefully curated meetings and cultural activities help build stronger, better-quality relationships. Alongside that, there are ways that we can make sure that the time at events is also as conducive as possible, for example:

  • Lighting: natural light boosts mood and alertness, while dim lighting can cause fatigue and reduced focus, so using bright, open spaces can help attendees stay focused, productive and engaged.
  • Seating arrangements: having flexible seating promotes collaboration and engagement and, for specific events, using specific formats can help productivity i.e. circular or U-shaped setups encourage open dialogue and could be helpful in smaller group settings.
  • Ambient noise: background noise should be minimised to avoid distractions, but soft background music can enhance creativity during brainstorming sessions. 
  • Mental Wellness: providing quiet zones and relaxation areas can help people needing to jump on the laptop to do a little work or for those who need a small time out. Also, incorporating wellness activities like yoga or meditation sessions helps attendees manage stress and maintain focus. It’s a nice way to start the day or break up sessions.
